Transparency & Publication Policy
1. Publicly Accessible Documents (Posted on Website)
These demonstrate credibility and welcome participation:
– Mission & Vision Statement – global professional goals.
– Membership Categories & Benefits – with eligibility details and dues.
– Code of Ethics – professional standards expected of all members.
– Leadership Roster – names/titles of current officers and Council delegates.
– Annual Reports (summary, not full financials) – highlights of education, research, and outreach activities.
– Policies on Conflicts of Interest, Diversity, and Inclusion (high-level summaries).
2. Accessible to Members Only
These are operational documents that guide internal governance:
– Full Bylaws (Version 2.0) – detailed rules for elections, committees, finance, and discipline.
– Council & Board Minutes – official records of decisions.
– Detailed Financial Reports + Independent Audit – distributed annually to members, not public.
– Internal Operating Manuals – procedural instructions for committees/officers.
3. Accessible Only to Leadership
Certain documents should remain confidential at the Board/Committee level:
– Draft minutes and in-progress working papers.
– Internal correspondence, investigations, or disciplinary case files.
– Sensitive negotiations (e.g., international partnerships, sponsorship contracts).
4. Rationale
– Public transparency → builds credibility and encourages global participation.
– Member-level access → reinforces value of membership (insider governance rights).
– Leadership-only materials → protect confidential strategy and sensitive data.
5. Review & Updates
– The Transparency Policy shall be reviewed every 3 years by the Board in consultation with the International Council.
– Updates must be approved by majority Council vote.
